By using our website, booking our services, or creating an account on our customer or staff portal, you agree to the practices described in this policy.
2. What Personal Information We Collect
From Customers:
- Full name, email address, phone number
- Service address and billing address
- Booking history, service preferences, and notes
- Payment information (processed securely; card details are not stored on our servers)
- Feedback, ratings, and reviews
- Before and after photos of your property taken during a service
- Device and usage data when you use our portal (IP address, browser type)
From Staff and Contractors:
- Full name, email, phone, home address
- Tax File Number (TFN), bank account details
- Identity and right-to-work documents
- GPS location during active job shifts (with consent)
- Clock-in/out records, hours worked, job completion records
- Emergency contact details
Automatically collected:
- Log data (IP address, pages visited, time spent)
- Cookies necessary for portal authentication
- GPS location (staff only, during active job tracking with explicit consent)
3. How We Collect Your Information
We collect information:
- Directly from you when you book a service, register an account, or contact us
- Through our website and customer/staff portals
- When you provide feedback or reviews
- Automatically through cookies and service logs
- From third-party services (Google Maps for location, payment processors)
We only collect sensitive information (such as TFN and bank details from staff) where it is reasonably necessary and with your knowledge.
4. Why We Collect and Use Your Information
We use personal information to:
- Book, manage, and deliver cleaning services at your property
- Communicate about bookings, reminders, and service updates
- Process payments and issue invoices
- Verify identity and right to work (staff)
- Manage staff schedules, rosters, and payroll
- Provide live GPS tracking to customers during a service (for safety and transparency)
- Send service completion reports and before/after photos
- Improve our services through feedback and analytics
- Send promotional communications (only with your consent; you may opt out at any time)
- Comply with legal obligations under Australian law
5. Who We Share Your Information With
We may share your personal information with:
- Assigned cleaners — your name, address, and relevant booking notes to carry out the service
- Email/SMS providers — to deliver booking confirmations, reminders, and updates
- Cloud storage providers — photos are stored securely on Cloudinary; data on MongoDB Atlas
- Payment processors — payment details are handled by Stripe and are never stored on our servers
- Google Maps — your address is used for routing and GPS tracking (no personal data is permanently stored by Google via our integration)
- Legal and regulatory bodies — if required by law, court order, or to protect rights and safety
We do not sell, rent, or trade your personal information to third parties for their marketing purposes.
6. Data Storage and Security
Your data is stored on secure cloud infrastructure (MongoDB Atlas) with encryption at rest and in transit (TLS/SSL). Access is protected by authentication tokens and role-based permissions.
Photos are stored on Cloudinary with private URLs accessible only through our authenticated platform.
While we take all reasonable steps to protect your information, no system is completely secure. If you suspect a security issue, please contact us immediately at admin@cleanmatecleaning.com.
7. How Long We Keep Your Information
- Customer booking records and invoices: 7 years (required by Australian tax law)
- Staff employment records: 7 years after employment ends
- Job photos: 12 months after service, unless you request earlier deletion
- Marketing preferences: Until you opt out
- Portal account: Until you request account deletion
We securely delete or de-identify information when it is no longer needed.
8. Your Privacy Rights
Under the Australian Privacy Principles, you have the right to:
- Access the personal information we hold about you
- Correct any inaccurate or outdated information
- Request deletion of your data (subject to legal retention requirements)
- Opt out of marketing communications at any time
- Withdraw consent for GPS tracking (note: this may affect service delivery)

Our services are not directed to individuals under 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us immediately.
